Industrial Door Systems (IDS) installs, services and repairs industrial doors, gates, shutters and loading bays across the UK, from the smallest businesses to some of the country’s largest companies, including sole responsibility for Royal Mail. With 100 staff and service engineers to coordinate and same-day service to guarantee, IDS needed to escape a paper-heavy operation. Motivity took them paperless, and the results reached well beyond tidier admin.
Before Motivity, IDS was “paper-mad”. A five-fold T-card system meant engineers trundling back to hand in job sheets, while storing and searching for anything was awful. Money leaked, too: hire equipment left on a customer’s site could cost £400 to £500 a week until someone noticed.
IDS chose Motivity for its professional, step-by-step approach, and for integrating with their Sage 200 accounting software. The system had to be simple for engineers to use in the field. “We trialled it with a couple of engineers and a service manager. After a month we rolled it out to all the engineers, and haven’t looked back since.”
With Motivity linked to Sage 200, IDS now invoices on the same day. Engineers carry out risk assessments on the spot and relay any issues straight to head office, so customers get a prompt quotation and the work can begin. “The fact we get the quotations out the same day makes us look marvellous in the customers’ eyes.”
The time savings add up fast. Half an hour saved per engineer each day comes to roughly 1,000 service hours a month. In the office, 30 customer updates that once took a week are now done in a day, freeing four admin-days a week. A mandatory tick box flags any hire equipment left on site within minutes.
Motivity also tracks when service contracts and installations are due, and when materials arrive. “You know where things are. It is like operating a machine that is well-tuned.” The office runs calmer and more professionally, and the impact is clear: an extra £750,000 in turnover, with the investment set to pay back inside the first year.
