How Motivity helped R&MA Stewart

For over 30 years, R&MA Stewart has delivered electrical engineering across the south east of England, from industrial and commercial installations to street lighting, maintenance and repairs, for local authorities, housing associations and private clients alike. Recording 35,000 jobs a year on paper had become a mounting burden. Motivity helped the firm go fully electronic, without disruption and without replacing the IT it already relied on.

Buried under 300,000 pieces of paper

R&MA Stewart recorded every one of its 35,000 annual jobs by hand. With ten forms per job to sign, process and file, that meant over 300,000 pieces of paper a year. The admin only grew heavier, and jobs got slower. “On the old manual system, any associated files would take four to five days before they were uploaded.”

Electronic, and built around their existing IT

R&MA Stewart needed to cut the admin without abandoning the bespoke IT system they already relied on. Motivity integrated with that system and replaced the paper forms entirely, moving the whole operation onto real-time digital records. Data that once took days to reach the office now lands the moment a job is done.

A seamless roll-out despite the fears

After twenty years of pen and paper, handing engineers a handheld device felt risky. The staged roll-out took just three to four weeks. “We thought we were heading for a ‘car crash’ with it. But it went seamlessly. The technical help from Motivity was first rate.” Engineers who expected constant crashes were quickly won over.

Smarter dispatch and photo-proof jobs

A live display board shows managers who is available and where, so work goes out the moment it comes in. “We can see on our display board who is available and send work out straight away.” Engineers also capture photos before, during and after a job, giving customers instant proof of completed work through an online portal.

More productivity, hours of travel saved

Productivity climbed without adding admin costs. Because engineers receive jobs and file updates remotely, they no longer drive into the office, saving two to three hours of travel a day, on routes that once ran 25 to 30 miles each way. Customers noticed too. “All the feedback has been very positive. It exceeds a lot of their own in-house systems.”
